TRANSFERRING RECORDS TO ARCHIVES NEW ZEALAND

This section provides preliminary guidance on requirements for the transfer of digital records from public offices to Archives New Zealand.

Archives New Zealand is now in a position to accept digital records exported into its custody where the records have been appraised as having ongoing archival value.

Requirements for digital transfer remain flexible to incorporate existing digital records not accompanied by recordkeeping metadata to the standard outlined below.

The minimum recordkeeping metadata requirements to enable records to be accepted into archival custody are those specified in the mandatory elements of the Electronic Recordkeeping Metadata Standard and further outlined as the mandatory elements of the Technical Specifications.

For transfer of records the use of the Integrity Check (element 22 in the Technical Specifications) should be applied to all record objects. This metadata element contains information about the algorithm used to generate a message digest (SHA-1). The algorithm provides information which is used to verify whether a record has been altered in an undocumented or unauthorised manner.

The requirements for such an integrity check mechanism will be the same for transfer of records between any systems.
