Good Recordkeeping

The capability to manage corporate information well is fundamental to the successful operation of any public office or local authority.

Archives New Zealand provides services and tools to support public offices' and local authorities' to create and effectively manage the records of their business activities, including:

  • Recordkeeping advice.
    The Government Recordkeeping Group advisory service offers free advice and guidance on all aspects of recordkeeping, including:
    • advice on any aspect of recordkeeping or records management
    • advice on legislative responsibilities
    • advice and assistance on the application of Archives standards, guides and factsheets
    • visits to agencies
    • advice on creating and applying an appraisal report or disposal schedule
    • review of appraisal reports before submission to the Chief Archivist.

  • Archives New Zealand recordkeeping publications.
    Archives New Zealand issues mandatory and discretionary recordkeeping standards and other tools for use in government agencies. These include:
    Create and Maintain Recordkeeping Standard (mandatory)
    Electronic Recordkeeping Metadata Standard (mandatory)
    Storage Standard (mandatory)
    Access Standard (discretionary).

  • Access to literature on best practice recordkeeping.
    Archives New Zealand operates a library containing material on most aspects of archives and records management. The Library is not open to the public except by prior appointment (appointments must be made several days in advance). Library materials can only be borrowed through the Inter-Library Loan System.
