Archives New Zealand is reviewing its Electronic Recordkeeping Systems standard (ERKS Standard). The existing standard can be viewed here .
The Electronic Recordkeeping Systems (ERKS) standard was issued by the Chief Archivist in June 2005. The original brief of the standard was to specify the minimum requirements of electronic recordkeeping systems within the context of the New Zealand Public sector.
The standard’s original intended purpose was to be used by agency staff to evaluate ‘off-the-shelf’ electronic recordkeeping systems and to incorporate recordkeeping functionality into the development of new or the re-design of existing business information systems, and as a tool for vendors and consultations to use to tailor their products for agency use. The European Union’s Model Requirements for the Management of Electronic Records (MoReq) were used as the original reference point for developing the ERKS standard.
The purpose of the review project is to establish the scope of the revised standard and update the product to reflect current and ongoing functionality, practice and specifications. Due to the rapidly changing nature of the electronic software market, the Electronic Recordkeeping Systems standard has been identified as a priority standard for review.
The Standard’s intended audience includes purchasers, vendors, and developers of electronic recordkeeping systems; agency staff and developers involved in assessing and/or re-designing existing business information systems.
Phase 1 of the review process has been completed. Research was undertaken to investigate the public sector experience with implementation of EDRMS to provide an evidence based scoping platform for Phase 2. A focus group was conducted to get a picture of the relevance of the Electronic Recordkeeping Systems Standard within this context and a scoping and options paper was produced. A research project to gauge the international environment and get a clearer picture of global trends in the electronic records management field was also undertaken.
